This policy explains how EJ Facilities Maintenance (“we”, “us”) uses a Facebook app to publish posts, manage our Facebook Page, and reply to messages sent to that Page. It applies to people who message our Page or whose information we receive from Meta when we use the app.
The app is used by our own staff to run the EJ Facilities Maintenance Facebook Page. It is not a public product, and we do not ask members of the public to install it.

We are the controller of personal information we hold outside Meta. Meta Platforms is a separate controller of information you give to Facebook.
What the app does
Our staff use the app only to:
- publish and manage posts on our Facebook Page;
- manage the Page, including content we have published; and
- read and reply to messages sent to the Page.
Information we access
Through the Meta Platform, the app can access:
- our Page name, Page ID, and the access needed for our staff to manage the Page;
- the text, images, and other content of posts we publish;
- messages sent to the Page, including the message text, the time it was sent, and attachments Facebook includes with the message; and
- the sender’s name, Facebook user ID, and profile picture, so we know who we are replying to.
We do not ask the app for your Facebook password, your friends list, or information from your personal profile beyond what Facebook shows us in a Page message.
How we use it
We use this information to:
- publish updates about our work on our Page;
- read messages sent to the Page and reply to them;
- deal with enquiries about our facilities maintenance services; and
- keep a record of a job or customer enquiry where we need one.
We rely on our legitimate interest in running our Page and answering people who contact us. Where a message is about work you have asked us to do, we also use the information to take steps toward that work.
We do not sell personal information. We do not use Page messages to build advertising profiles, and we do not pass them to other businesses for their own marketing.
Who we share it with
We share information only where we need to:
- Meta Platforms. Posts and replies are sent through Facebook. Meta’s own privacy policy describes how Facebook handles that information.
- Our service providers. Companies that host our systems may process information on our instructions, only so the app can run.
- Professional advisers or authorities. Where we must share information to meet a legal duty, or to establish or defend a legal claim.
How long we keep it
Page access used by the app is kept only while our staff need it to manage the Page, and is removed when it is no longer needed.
We read messages in Facebook so we can reply. We do not copy messages into a marketing list. If we keep a copy because it is a customer or job enquiry, we keep it with our normal business records for as long as we need it to handle that enquiry, and then we delete it. We do not keep it for more than 24 months unless the law requires a longer period, or we need it for a legal claim.
How to ask us to delete your information
Email info@ejfm.co.uk with the subject line “Facebook data deletion request”. Include the name on the Facebook account and enough detail for us to find the message, such as the approximate date you contacted the Page.
We will delete the personal information we hold from the app for that request within 30 days, unless we have to keep it to meet a legal duty or to deal with a legal claim. We will tell you if we cannot delete something, and why.
You can also delete or control your messages in Facebook itself. Deleting a message in Facebook does not automatically remove a copy we have already stored as a business record, so please use the email above if you want that copy removed.
Your rights
If you are in the UK, you can ask us for a copy of your personal information, ask us to correct it, ask us to delete it, ask us to limit how we use it, or object to our use of it. You can also complain to the Information Commissioner’s Office at ico.org.uk.
Children
Our Page and this app are for business enquiries. We do not knowingly collect information from children under 13. If you believe a child has sent personal information to our Page, contact us and we will delete it.
Security
Access to the app is limited to EJ Facilities Maintenance staff who manage the Page. Page access credentials are stored so that only those staff can use them.
Changes
If we change what the app does, or how we use information from Facebook, we will update this page and change the date at the top.
